How to Structure a Peer Review Response

Effective peer review is not a list of unsequenced observations. It is a structured document with a clear architecture: an opening summary that confirms comprehension, major concerns addressed in priority order, specific minor observations grouped appropriately, and a closing orientation that gives the author a clear sense of direction and proportion. This structure ensures that the most important issues receive the most prominent attention, that the author understands the relationship between different observations, and that the review is navigable during the revision process.

Begin with a brief (3–5 sentence) summary of the work’s central argument and scope as you understood it. This is not an assessment — it is a comprehension check. It immediately tells the author whether their central message landed with a careful reader. If your summary diverges from what the author intended, that is itself important feedback: the gap between intended and received argument is often more revealing than any marginal comment.

Address smaller, more specific issues — individual paragraph transitions, citation gaps, unclear sentences, terminology inconsistencies. For recurring patterns, identify the pattern and give two or three specific examples rather than listing every instance (which is annotator’s work, not reviewer’s work). “Transitions between paragraphs 3–7 do not signal the logical relationship between adjacent points — see the move from paragraph 4 to 5 as a clear example” is more useful and more manageable than fifteen individual transition comments.

Identify specific, genuine strengths — not manufactured reassurance, but real aspects of the work that function well against the criteria. This is not courtesy; it is information. Authors who receive only a list of problems cannot see what they should preserve in revision — and sometimes inadvertently revise away what was already working. Be specific: “Your handling of the counter-argument in section 4 is analytically strong — you engage substantively with the opposing position rather than dismissing it” gives the author information about a skill they are deploying successfully.

Closing orientation

End with a brief orientation comment that gives the author a sense of overall proportion: what are the one or two priority areas for revision, and what is the overall trajectory from the current draft toward a stronger one? This prevents the common author confusion of not knowing where to start after receiving a long list of observations. “The central revision priority is clarifying the thesis statement and making the argument structure more explicit — once those are addressed, the smaller concerns about evidence and transitions will be easier to resolve” is a genuinely useful closing orientation.

A useful test: After drafting your review, ask yourself — if you were the author, would you know (a) what the three most important things to change are, (b) where specifically to look in the text, and (c) what direction to move in? If not, the review is not yet actionable.

The Language of Constructive Critique — Phrases That Produce Revision

How a comment is worded determines whether an author can use it. This is not a matter of softening honest feedback — it is a matter of making honest feedback legible and actionable. Vague, judgmental, or imprecise language does not protect authors from difficult truths; it just makes those truths impossible to act on. A Framework for Comment Language

A reliable language framework for peer review comments combines three elements: describe what the text does, explain why this is an issue against the criteria, and suggest a direction (not a rewrite). This three-part structure — Describe / Explain / Suggest — applied to major comments ensures that each observation is both comprehensible and actionable.

The Suggest component does not mean rewriting the author’s work for them. A direction, a possibility, or a question (“What would it look like if you…?”) gives the author the information they need to solve the problem themselves — which is both more respectful of their authorship and more educationally valuable than a prescription. Prescriptive peer feedback — “change this to that” — produces a text that sounds like the reviewer, not the author, which is rarely an improvement.

Giving Feedback on Different Elements of Academic Writing

Different elements of academic writing require different analytical attention during peer review. The criteria and questions relevant to evaluating an argument are different from those relevant to evaluating evidence use, and both differ from those for structure, literature engagement, or written expression. Written expression — clarity, sentence structure, vocabulary, academic register, and grammar — is a legitimate target for peer feedback, but it should be addressed after structural and argument concerns, not instead of them. Surface feedback is the easiest to give and the least likely to be what the author most needs. When written expression genuinely impairs comprehension or falls below the required academic register, note it specifically with examples.
